Privacy Policy

Tagaste LLC, which uses the Tagaste Labs brand (“Tagaste,” “we,” “us,” or “our”), operates tagastelabs.com and Tagaste Front Desk. This policy explains what information we handle, why we use it, and the choices available to parishes, staff, callers, and website visitors.

Our consumer apps are covered by their own privacy policies, not this one: Rosary Together, and Catholic Index and Becoming Catholic at catholicindex.org.

1. Information We Collect

Information you provide

When you request a demo, contact us, or begin service, we may collect your name, role, email address, phone number, parish or organization, and the information you include in your message. If you become a customer, we also collect the account, configuration, support, and billing information needed to provide the service.

Parish configuration

A parish may provide schedules, staff contacts, programs, policies, routing instructions, and other approved source material for Front Desk to use. The parish decides what information the service may answer from and where messages or calls should go.

API services

Some of our services expose APIs used by our own websites and applications (for example, parish-name suggestions on our forms). API requests may be logged — including the query, IP address, and timestamp — for security, reliability, and abuse prevention.

Calls and messages

When someone calls a Front Desk line, we and our service providers may process:

Front Desk identifies itself as an AI service. When a call is recorded or transcribed, callers are given notice at the beginning of the call.

Website and technical data

Our website and hosting providers may collect pages visited, referring URLs, approximate location derived from an IP address, browser and device information, and diagnostic logs. We use privacy-respecting analytics to understand our own site, not to track visitors across unrelated websites or build advertising profiles.

2. How We Use Your Information

We do not sell personal information or use parish or caller information for targeted advertising.

3. AI and Service Providers

Front Desk depends on third-party providers for hosting, telephony, speech recognition, language-model processing, voice generation, email delivery, analytics, and, when applicable, payment processing. These providers receive the information reasonably necessary to perform those functions and process it under their own contracts and privacy terms. Before activation, we provide the parish with the current providers, retention settings, and secondary-use controls for its configuration.

We do not use one parish's private source material to answer another parish's calls. Where a provider offers storage or secondary-use controls, those settings are part of the service configuration.

4. Call Recording and Transcription

Recording and transcription settings may vary by parish and stage of service. When enabled, they help the service create messages, support staff review, troubleshoot failures, and maintain a useful call history. Callers who do not wish to continue after the recording notice may end the call and contact the parish through another published method.

Each parish is responsible for approving its call configuration and for any notices or permissions required for staff phone numbers, transfers, or internal use. Tagaste provides the caller-facing disclosure for recording when recording is enabled.

5. Sensitive and Emergency Information

Front Desk is intended for ordinary parish-office communication. It is not a place to make a confession, receive spiritual direction, submit medical or financial records, or obtain emergency assistance. Callers should dial 911 for an emergency. If a caller shares sensitive information during a call, that information may appear in the audio, transcript, summary, or message created from the call.

6. When We Share Information

We disclose information only as reasonably necessary:

SMS / Text Message Notifications

Parish staff may opt in to receive operational text message notifications (such as urgent caller alerts and service announcements) from our Front Desk service by providing their mobile number during service onboarding. By opting in, you consent to receive such messages; message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP, and get assistance by replying HELP or contacting [email protected].

Mobile information and SMS consent are not sold or shared with third parties or affiliates for marketing or promotional purposes. Service providers may process this information only as needed to deliver and manage the operational messages you request.

7. Retention and Deletion

We retain information for as long as reasonably necessary to provide the service, support a parish, resolve disputes, maintain security, and meet legal or accounting obligations. Call-data retention depends on the storage configuration selected for the parish and on the providers used. Before activating a production line, we will tell the parish what call information is stored and the retention setting then in effect.

Inquiry messages may remain in our business email and records while we respond and for a reasonable period afterward. Deletion from active systems may not immediately remove information from security backups or records we must keep by law. A parish or caller may contact us to request access, correction, export, or deletion; we will honor the request when reasonably possible and legally permitted.

8. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and the current service. No internet or telephone system is completely secure, and we cannot guarantee that a breach or service-provider failure will never occur.

We may need to verify your identity and authority before acting on a request. Where a state privacy law applies to Tagaste, we will honor the rights it provides. We will not discriminate against someone for making a valid privacy request. Contact [email protected].

10. Children's Privacy

Our website and customer accounts are not directed to children. Because parishes serve families, a caller may occasionally mention a child. Callers should not use Front Desk to submit sensitive information about a minor. If you believe a child's information was collected inappropriately, contact us so we can review and, when appropriate, delete it.

11. Changes to This Policy

We may update this policy as the service develops. We will post the revised policy and update its effective date. If a change materially affects an active parish customer, we will also provide reasonable notice through the contact information we have.
